Every successful Pivotal charge generates a PDF invoice. Invoices live under Admin > Billing > Invoices and stay there for the life of the workspace. The Owner role and any Admin can view, download, and forward them.
Open Admin > Billing > Invoices. The list shows every invoice with date, amount, and status (Paid, Refunded, Failed). Click a row to see the line items (seats, plan, proration, credits). The Download PDF button on each row pulls the receipt your finance team will recognize. Bulk download is not in the UI yet; if you need every invoice for an audit, email help@pivotal.app with your workspace slug and the date range.
Add a billing recipient. Under Admin > Billing > Recipients, click Add recipient, paste the finance email, and choose which events trigger an email: every invoice, only failed charges, or both. Recipients receive the invoice PDF as an attachment and a link to view it in Pivotal. They do not get a login, do not count as a seat, and cannot see anything else in the workspace.
You can add up to ten recipients. Use a distribution list (ap@yourcompany.com) if your finance team rotates the inbox.
Yes. On any invoice row, click the three-dot menu and choose Forward. Enter one or more emails (comma-separated), add an optional note, and click Send. Pivotal emails the PDF directly from billing@pivotal.app with your workspace’s branded header.
VAT and tax ID live under Admin > Billing > Tax details. Add your company’s tax ID, country, and address. Pivotal applies it to every future invoice and re-renders the current cycle’s invoice on save. Past invoices stay as-issued; if you need a past invoice re-issued with tax details, email help@pivotal.app.
PO numbers are per-invoice. On the upcoming-invoice card at the top of Admin > Billing, click Add PO number and the next invoice ships with the PO printed at the top. To add a PO to every invoice going forward, set the default under Admin > Billing > Defaults.
Receipts and invoices are the same PDF in Pivotal. Forward it from the Invoice list, or have the teammate email help@pivotal.app with the charge date and amount; the team can reissue with a different billing name on it.
Yes. Each invoice line item lists the plan, the seat count at billing time, and a proration line per seat added or removed during the cycle. The proration line names the teammate. Your finance team will see “Acme: Team plan, 12 seats” plus “Seat added: jane@acme.com, 14 days proration.”
